Board Planning Meeting January 28, 2023 Minutes

Attending:  Steve Nelson, Bill Blackwood, Chuck Jenkins, John Miller, DruRachaner, Mark Foster, Dave Cockrill, Jill Werth, Katherine Miller, Mike Doherty from the board and guests Curt Christen and Brad Werth.

Steve called the meeting to order at 10:10.

Club Calendar

The April Ice Breaker was cancelled because of conflicts with Easter and Spring sailing trip by many PPYC Club members.  The Ice Breaker activities will be combined with the May Social on May 13 and held at the shelter.

The “wine cooler” and “beer can” races were combined to a single night.  The races will be on Wednesday nights with 5:30 pm on the dock and 6:00 pm at the end of cove starting line.  The results will be published on the Club web site and Facebook pages by the weekend.  There will be three race nights each month starting on May 3rd and ending on September 20th.  See the calendars on the PPYC web site and PPYC Facebook group page.

Race

After some discussion the monthly race schedule was set.  The focus is on encouraging participation.  There was discussion about assessing Members who raced an additional fee.  This was declined due to the potential negative impact on getting more racing participation.

There will be Five race Saturdays plus the Championship Race. The Monthly Club Buoy Races will be held on June 1st  July 8th August 5th September 9th and October 7th.  The Championship Race will be held on October 14th.  John Miller and Dru Rachaner will publish details on handicapping data and committee boat crew.  Races will start with the Captains’ meeting at 10am

Budget Review

The Club budget performance was analyzed.  Income is down, Expenses are up.   In 2022, expenses exceeded income by $401.  Without the second Learn to Sail class, expense would have exceeded income by $1651. 

PPYC board members discussed current dues and agreed a modest increase is in order. A first vote was approved for $75 annual for Full & Associate Members. After additional consideration and review of PPYC bylaws, Dru made a motion,  ” 2023 dues to be $75 for Full and $50 for Associate, and for 2024 dues structure, PPYC Board to evaluate bylaws in regards to Associate members.” Motion received “second” by Bill. Motion was passed with 7 members voting in support, via email.

 An email will be sent to Club members documenting the increase in dues approved by the board.

The Learn To Sail classroom location will be changed to increase income and reduce costs. The Smithville and iWerx Gladstone were discussed. 

Monthly Social Schedule

The schedule for the monthly Socials was discussed at length and revised after the Race Schedule had been firmed up.  The first PPYC Club Social will be held on May 13.  This is the combined Ice Breaker – Kickoff Social.  The hosts / sponsor will be determined.  The dates for the remaining Socials are June 17th, July 8th, August 12th, September 9th and October 21st.

Social Media Update

The Facebook and Instagram Social Media sites will be more heavily used in 2023.

The Club Distribution List will be reviewed and updated.  Google Groups will be used to get information to Club members.

Welcome letter, booklet, and PPYC contact information will be prepared for all new members.

Boat Upkeep / Maintenance

Ongoing Maintenance for the Committee boat and Sweet 16 fleet was discussed.  Sweet 16 clean-up day will be May 20th

It was decided to keep Sweet 16 #5 as a “parts boat” since replacement masts, booms, or rudders would be expensive.  This boat has no sails and had been a potential sale. 

The floatation chambers on all Sweet 16s will be reviewed and sealed as necessary.

There will be a Fall Learn To Sail session using the Sweet 16s similar to the 2022 season. 

Signs / Stickers will be provided for the Committee boat informing operators that the fuel is a mixture of gasoline and oil. 

Learn to Sail

The Learn To Sail Program will be modified with a PPYC overview for the students, addition of a BoatUS self-study to supplement the Course material, and modification of the Course material to follow the BoatUS course.

The classroom sessions will be held at iWerx in Gladstone (Thank you John Miller).  Combined with a change in tuition, this will provide PPYC with greater income per student.  Classroom sessions will be Thursdays June 8th 15th and 22   The On the Water sessions will be 9 to 1 and 1 to 5 on Saturday June 10th 17th and 24th .  Chuck Jenkins will be Lead Classroom Instructor.  Advertising and Enrollment will still be through Park Hill Community Education.  Class size will be the same as 2022 – 16 students.

On The Water Instructors will be provided with Outline and Objectives of each session.   A PPYC Mentor will be assigned to each student to help with questions about the BoatUS Course and any issues a student might have on the water.

The course description will be modified to include the mention of the BoatUS course and the requirement for moderate physical activity / agility by the students.  The potential of using the Sweet 16s on light wind days will be explored.

Other Items:

A Military / Veteran appreciation sail was proposed.  The potential audience will be explored by contacting Smithville VFW and Fort Leavenworth Staff College.

Board Meeting September 9, 2023 Minutes

Steve called the meeting to order at 4:00.

Items for discussion:

            Insurance review

            Club award of “member of the year”

            Pontoon Boat direction

Insurance Review:

Chuck Jenkins has reviewed current insurance coverage:

Three Sections in current policy:  General Liability, Directors and Officers, Employment Related

General Liability section:  Policy runs Halloween to Halloween.  Gives coverage of club boats and non-club-owned boats.    Exclusion for sporting exhibition in policy — question was sent to agent.

Directors and Offices section:  Board is covered for liability.  Policy must be in force when a claim is made.  No problems with this part of policy.  Keep in force.

Employment Related Section:  Club has no employees or plans for any in the future.  Motion to remove employment practices was made, seconded, and approved by board.

Other:  We need coverage on the storage trailer – right now no coverage and question sent to the agent.

Club Award – 

Discussion on Club Member of the Year – we do not need to award it every year.

Discussion on Lifetime Achievement Criteria and Award:  

Document on Fred White’s achievement (prepared by his daughter) was reviewed by the board.

Consensus of the board: No current candidate for Club Member of the Year.  Board will wait for Dru’s input on the Life Time Recognition / Sailing Achievement

Pontoon Boat – What to Do with it

Boat floats and engine runs. It needs seats and decking replaced.

Tires, Trailer, both worth $500 each which contributes to the value.

Curt said the motor is running.  Automatic Oil Mixture is broken – Oil and Gas must be mixed by hand.

The consensus is a sailboat is more comfortable than the committee boat.

An outboard / open boat would be a good addition for Learn to Sail sweet 16 support.

There are club members with outboards to support immediate needs

Motion to sell the committee boat for the best price we can get.  Seconded and passed.

Other Issues:

Dialog on changes to Learn to Sail class.  Need to revise to a more basic class.

On the Water – each session will be 3 hours.

Make it more fun and enjoy sailing.
